Shenzhen in 90 seconds

Shenzhen is one of the main gateways to China’s technology manufacturing ecosystem. It should not be understood as a single “market”, but as an urban and industrial network connected to Dongguan, Huizhou, Guangzhou, Hong Kong and the rest of the Pearl River Delta.

Ideal for

Electronics, smart terminals, accessories, components, hardware, wearables, drones, robotics, connected products, prototypes and OEM/ODM supply chains.

Not everything is in Shenzhen

The sales office may be in Shenzhen while actual production takes place in Dongguan, Huizhou or another city. The meeting address does not prove where the product is manufactured.

Practical advantage

The density of suppliers, engineering teams, component markets, logistics and services makes it possible to iterate products very quickly.

Key idea: for a professional buyer, the question is not “which supplier is cheapest?”, but “which supply chain can reproduce my specification consistently, traceably and at scale?”.

05 · Key market

Huaqiangbei: use it as a market laboratory, not as a synonym for “factory”

Shenzhen authorities describe Huaqiangbei as “China's No. 1 Electronics Street”. In 2024 the official website referred to 22 specialised markets and more than one million components across 1.45 km²; a more recent official publication now cites 35 specialised markets and more than 115,000 businesses. The evolution shows how dynamic the area is. [2–3]

Very good for

Spotting trends, locating components, comparing designs, obtaining samples, exploring solutions, finding accessories and understanding what is moving in electronics.

Do not assume that

The stall seller is the manufacturer, the price is a factory price, they have rights to the product or they can guarantee continuity of supply.

Practical rule: always separate three roles: seller, company that invoices/receives payment and plant that manufactures. They may be three different entities.
06 · Regional supply chain

Shenzhen + Dongguan: think in networks, not municipal boundaries

Many projects are managed from a Shenzhen office while part of the production, mould making, SMT, injection moulding, machining, assembly or packaging takes place in neighbouring cities. A real audit therefore needs to follow the physical production chain.

Sales office

It may concentrate sales, engineering, exports and international customer service.

Main plant

Confirm which processes take place there and which are subcontracted.

Critical sub-suppliers

Battery, PCB, chip, display, motor, housing, mould or packaging may come from third parties.

Final control

Define where inspection takes place, who consolidates and which company appears on documents and payments.

07 · Suppliers

How to build a shortlist without losing weeks

Define a comparable RFQ

Product, materials, tolerances, colour, packaging, certificates, initial volume, forecast and destination.

Find 8–15 candidates

Do not negotiate in depth yet. First eliminate unsuitable candidates by capability, category, MOQ and export experience.

Narrow it to 3–5

Compare the same specification, not “similar products”.

Verify the entity and plant

Legal name, licence, address, bank account, capacity and actual processes.

Sample + test + visit

The final decision should combine documentation, the physical product and evidence of production.

The first message should filter suppliers, not sell your entire project

Recommended structure for the initial RFQ

1. Who you are and destination market. 2. Exact product. 3. Critical specification. 4. Trial quantity + forecast. 5. Packaging/branding. 6. Required certificates. 7. Requested Incoterm. 8. Factory questions: MOQ, lead time, sample, capacity, internal processes.

Do not send only: “How much?” A price without specification, volume, packaging, Incoterm and quality standard is almost never comparable.
10 · Visit

How to run a supplier meeting

Before

Agenda, attendees, product, target sample, question list, address in Chinese, WeChat contact and travel time.

During

Start with capability and product. Then price. Walk through production. Take photos only with permission. Record changes and people responsible.

After

Send a written summary covering price, MOQ, specification, lead time, sample, payment, Incoterm and open items. Ask for confirmation.

11 · Negotiation

Negotiate variables, not just cents

MOQ: find out who is actually setting it

A high MOQ may come from the main supplier, but it may also be imposed by the carton, printing, custom-colour, mould, PCB or component supplier. Breaking it down allows smarter negotiation.

Pilot order

Use a standard product, existing colour and neutral packaging if you need to validate the market.

Private label

Ask for separate MOQs for the logo on the product, box, manual and accessories.

Scaling

Ask for a tiered price table and what exactly improves at each quantity step.

13 · Your own product

OEM / ODM: define in writing who owns what

OEM

You normally start from a specification or design more clearly defined by the buyer. Document drawings, BOM, tolerances, packaging, tests and ownership of tooling.

ODM

You start from an existing manufacturer platform and adapt it. You need to know what is exclusive, what is standard and what can be sold to third parties.

Do not assume that paying for a mould automatically means you legally own it, can remove it from the factory or that the factory cannot use a variant. This must be agreed.
14 · Development

The approved sample must become the production reference

Initial sample

Check function, finish, dimensions, user experience and packaging.

Corrections

Number every change. Avoid chains of contradictory messages.

Golden sample

Keep one final approved unit and define it as the visual/functional reference together with the written specification.

Production

Do not allow material or component substitutions without prior approval.

15 · Financial risk

Before transferring money

Check that the details match

Legal company name on the contract/PI, bank beneficiary, address, contact details and an explanation for any different entity.

Tie payments to milestones

Whenever practical, structure the schedule so that part of the payment remains due after verifiable progress or inspection.

Critical warning: an unexpected bank-account change immediately before payment must be verified through an independent channel. Do not confirm it only by replying to the same email or chat.

Quality control starts before manufacturing

Labels, lots, storage, traceability and consistency with what was promised.

Machines, operators, work instructions, WIP, stations and bottlenecks.

QC

Instruments, calibration, records, retained samples and non-conformity management.

Capacity

Do not rely only on the sales figure. Cross-check lines, shifts, work in progress and dependence on subcontractors.

Warehouse

Finished product, protection, identification, FIFO where applicable and shipment preparation.

Your order

Ask exactly where it will be manufactured and which steps will happen outside that plant.

18 · Export

Shenzhen is also a global logistics platform

In 2025, Shenzhen Port handled 35.4084 million TEU, up 6.02% year on year. The airport recorded 66.4852 million passengers and 2.0508 million tonnes of cargo and mail. [13] For buyers, this means multiple sea and air export options, but the optimal route depends on the goods, destination, volume, batteries, urgency and Incoterm.

Courier / samples

Useful for samples and small shipments, subject to category and restrictions.

Air freight

For higher-value, low-density goods or when speed is important.

Sea freight

FCL/LCL for volume. Compare not only freight, but also origin charges, consolidation, customs clearance, destination charges and last mile.

19 · Mobility

Plan Shenzhen by area, not by number of meetings

At the end of 2025, the city had 18 metro lines and 634.5 km of operational network. [1] The metro is excellent for urban travel, but many factories require a car/taxi from a station or an intercity journey.

Scheduling tip

Do not schedule Bao'an → Longgang → Nanshan → Dongguan as if they were neighbouring districts. Group visits by quadrant and leave buffer time between appointments.

Addresses

Save the address in Chinese, map pin, phone number and contact name. The English trade name may not be enough to locate a plant.

Business culture: practical, respectful and documented

Relationship

Personal trust matters, but it does not replace a contract, specification, inspection or payment verification.

Hierarchy

Identify who decides on price, engineering, production and finance. Your sales contact may not have authority over every point.

Communication

Avoid unnecessarily humiliating or confronting people in public. For problems, provide concrete evidence and request a corrective-action plan.

Speed

WeChat speeds up operations, but critical points must be consolidated in documents and clear confirmations.

22 · Daily communication

WeChat: essential, but it should not become your only project record

Use WeChat for: coordination, location sharing, quick photos, video calls, reminders and follow-up. Consolidate outside the chat: PI, PO, specifications, revisions, payment documents, approvals and any contractual change.

Names

Rename contacts using company + name + role so you do not mix up suppliers.

Groups

For complex projects, a group with sales + engineering + QC reduces information loss.

Summary

After a call, write “We confirm A/B/C” and request explicit acceptance.

27 · Risks

Common mistakes made by foreign buyers

Compare total cost and specification. A lower price may hide different components, thickness, performance, packaging, tolerances or controls.
The sample may have been selected or produced with special care. Define how mass production will be controlled to replicate the approved reference.
If the account belongs to another company, do not assume this is normal. Understand the relationship and document the reason.
Time in Shenzhen is lost in travel and meetings that run long. Two high-quality visits may be worth more than five superficial ones.
Create dated versions. When you approve a revision, make clear which previous version it replaces.
28 · Problems

If something goes wrong

Before shipment

Stop release if the defect is relevant. Document it with photos, video, quantities and the failed criterion. Request rework, replacement or a verifiable corrective-action plan.

After shipment

Keep evidence, lot information, packaging, reports, conversations and documents. Separate an isolated defect from a systemic defect before quantifying the claim.

Supplier does not respond

Escalate to other company contacts, combine channels and verify whether the contact still works there. Avoid accusations without evidence.

Specification change

Find the approved version, identify where the change occurred and who authorised it. That traceability is the basis for negotiating a solution.
